TLDR:
Connect the calendar and whatever your instructors read to Claude or ChatGPT: draft schedules from availability, sub-finding on a call-out, lifeguard and CPR certification reminders and the weekly staff note, all drafted for approval.
Instructors are the product at a swim school — and at a pool, staffing is a safety requirement before it's a schedule. This guide covers how to hand the coordination to Claude or ChatGPT: schedules, subs, certifications, notices.
It expands the staff side of our swim school automation guide. Everything family-facing — lessons, make-ups, parent messages — stays in swim lesson management and the admin guide; this page is the deck side.
AI for instructor scheduling at your swim school
Staff automation means the AI reads your calendar, your lesson schedule and your instructor records, and drafts the internal coordination a manager would otherwise do by hand: next session's schedule, the sub request, the certification reminder, the weekly note.
Connect Slack, WhatsApp or email — whatever the instructors already read. The AI meets your team where it is; a new app for instructors to ignore is not part of the setup.
And the same rule as everywhere else on the list: drafts, not actions. The schedule goes out after you've looked at it. The sub ask goes to the instructors you'd have asked.
Instructor availability into a draft schedule
Availability plus the lesson calendar becomes a draft of next session's schedule, with the gaps flagged: the block with nobody confirmed, the instructor double-booked across pools, the level that needs a specific teacher.
You resolve the flags and approve. The draft is a starting point a person finishes, not a schedule imposed by an algorithm.
Two details a swim school adds that generic scheduling tools miss:
- Ratio-aware coverage. Your student-to-instructor ratios by level are part of the draft — a parent-and-tot block and a stroke-development block need different staffing, and the schedule respects your rules.
- Certification-aware slots. A block that requires a lifeguard on deck or a certified instructor only gets proposals that fit. The draft reads your requirements, it doesn't invent its own.
Lessons taught and sub swaps feed straight into the instructor pay prep covered in swim school billing automation.
When an instructor calls out
The 2pm "I can't make the after-school block" text is the sharpest version of the coordination problem, and the most automatable.
The moment you flag a call-out, the AI lists the instructors qualified and free for that slot, drafts the ask, and sends it to the ones you pick. Replies come back to you; the first yes updates the draft schedule and the weekly note.
The same sweep covers planned absences: a vacation request lands, the affected blocks are listed, and the sub asks are drafted weeks early instead of the hour before.
What it never does is decide alone who stands on your deck. It shortlists; you choose.
Certifications: lifeguard, CPR, WSI
At a pool, a lapsed certification is not an admin slip — it's a safety and insurance problem, and often a legal one. This is the item to automate first on this page.
- One list. Lifeguard certification, CPR, first aid and Water Safety Instructor status for every instructor, with expiry dates, read from your records.
- Reminders before expiry. The instructor gets the nudge, you get the summary, and the reminder repeats until the renewal is logged.
- Scheduling that respects it. An instructor whose certification lapses stops appearing in sub shortlists and draft schedules until it's renewed — so a lapse can't quietly end up on the deck.
New-instructor onboarding runs off the same records: a checklist and a first-week schedule generated from your handbook, with the certification steps at the top. Certification tracking is the kind of quiet, always-on job worth having built properly — it's exactly what Unprompted sets up for swim schools.
The weekly staff note and season changes
The weekly note. What changed this week, who's covering what, what next week looks like — drafted Friday, along with recurring notices like staff meetings and the pre-season paperwork round. Instructors stop finding out about changes from parents.
Session turnover, staffed. When a new session's schedule lands, the staffing side comes with it: who teaches which blocks, whose availability changed, drafted alongside the session-change letters the admin side is already sending.
What stays human
Hiring, feedback and anything about how an instructor handles the water are conversations, not drafts. The AI can assemble the coverage record; what it means is yours to judge.
Pay decisions stay with you too. The AI preps lessons and swaps, but rates and arrangements are people work.
And the water is the water. Nothing on this page touches how a lesson is taught or a pool kept safe; it exists so the person responsible for that isn't also the person chasing CPR renewals at midnight.

Do instructors need to install anything?
No. The AI drafts into Slack, WhatsApp or email, whichever your team already reads. Availability can come from replies, a shared sheet or the calendar.
Can it schedule around certifications and ratios?
Yes. The draft schedule and every sub shortlist only propose instructors whose certifications are current, and the draft respects your student-to-instructor ratios by level.
What happens on a same-day call-out?
You flag it, the AI lists qualified, available instructors and drafts the ask. The first yes updates the draft schedule; you approve the final change.
Can it track sub swaps for pay?
It logs every swap with who taught, and hands clean numbers to pay prep. Rates stay your decision; the [billing guide](/blog/swim-school-billing-automation) covers the money side.
