TLDR:
Connect Jackrabbit or iClassPro to Claude or ChatGPT and the repeat class work runs itself: waitlist sweeps, make-up offers, roster notes, attendance flags and renewal lists, each drafted for your approval.
Your gymnastics class management software already knows who is enrolled, who is on the waitlist and who missed Tuesday. What it doesn't do is act on any of that without a person opening it, running the report and writing the message. This guide covers how to connect that system to Claude or ChatGPT and hand over the acting part: registration, rosters, waitlists, make-ups, attendance and the parent portal.
It goes deeper on the class-management side of our gym automation guide. Billing and tuition are a separate job, covered in gymnastics gym bookkeeping automation; coach schedules are in gymnastics staff automation.
Connecting AI to your gymnastics class management software (Jackrabbit or iClassPro)
There are three ways in, and every gym has at least one of them.
If your gymnastics club software has an API, the AI reads it directly: enrollment, rosters, waitlists, attendance, live. If it has exports, the AI works from a scheduled export instead. And if it has neither, a machine reads the reports you already download every week, which covers most of what follows.
Either way, the rule is the same one that runs through the whole list: the AI reads your system and drafts the action. It does not write back into your class system, and it does not message a family until you approve the message or decide a job has earned the right to send on its own.
Using AI to get insights from your gymnastics studio software
The first thing that changes is that you stop building reports. You ask the question the way you'd ask your front desk, and the answer comes back from the list.
The questions a gymnastics gym asks every week:
- "Who in Level 2 hasn't attended in three weeks?"
- "Which Saturday classes are under 60% full?"
- "Who is turning 6 this month and aging out of Tiny Tumblers?"
Each answer arrives as a list you can act on, not a spreadsheet you still have to read. Ask a follow-up ("draft a message to those families") and the drafts appear next to the names.
This is the practical difference between a class system and gymnastics studio management software with an AI on top: the system stores the answer; the AI goes and gets it, then preps what you'd do about it.
Using AI to streamline your gymnastics registration software
Semester and session registration is the heaviest lift in the gymnastics calendar, and most of it is pattern work the AI can prep.
- Re-enrollment sweeps. Two weeks before registration opens, a list of every current family that hasn't re-registered, with a reminder drafted for each, in your voice, naming their athlete's class.
- Placement checks. New registrations compared against age and level rules, with the mismatches flagged: the 9-year-old registered for a preschool slot, the Level 3 athlete in a Level 1 class.
- Capacity watch. Classes approaching full flagged before they overflow, and undersubscribed classes flagged early enough to merge or market.
- Trial-to-enrolled follow-up. Every trial-class family that never enrolled gets a drafted nudge after five days, because that gap is where most gyms quietly lose their next semester.
None of this needs new gymnastics registration software. It runs on the registration data your current system already holds.
Using AI for gymnastics class management
These three lists are the daily grind of class management, and they are the first thing worth putting on a schedule.
The waitlist sweep. Every morning: which classes have an open spot, who is next in line for it, and a drafted offer for the desk to send. A spot that opens Tuesday gets offered Tuesday, not discovered at the end of the month. Most gyms have the data for this already sitting in their class system; AI specialists like Unprompted can have the morning sweep running on your own lists.
Make-up tracking. Who is owed a make-up, which classes have room for one this week, and a drafted message offering the slot. Your make-up policy stops being a source of parent friction and becomes a message they receive without asking.
Attendance flags. An athlete who has missed three straight weeks appears on your list before the family has decided to quit. The AI drafts the check-in note; you decide whether it's a message or a phone call.
On our full automation map, these run in the every-morning row of the schedule: they don't wait for anyone to ask.
Rosters, level moves and the parent portal
Roster changes are small events that create work in three places at once: the coach needs to know, the roster needs to be right, and the family needs the confirmation.
- Roster changes to the right coach. A child moves up, a new enrollment lands, a family withdraws. The coach gets a note before the next class, drafted from the change itself.
- Level moves, announced properly. A move-up becomes a congratulations note to the family and an updated roster line for both coaches, drafted together so nothing is announced twice or not at all.
- Portal nudges. The gymnastics parent portal only works when families use it. The AI drafts the reminders that keep it current: the unsigned waiver, the expiring card, the un-downloaded schedule.
- Renewals and birthdays. Memberships and annual registration fees listed two weeks out with a reminder drafted for each, and a birthday list every month with a party-booking line ready to send.
Setting this up is the part gyms don't do themselves: the scheduled jobs and the memory of your policies live on a private machine in the cloud that your Claude or ChatGPT connects to.
Why you should layer AI on your existing gymnastics software
If Jackrabbit or iClassPro already does a job reliably, leave it there. Payment retries, class reminders and the enrollment records belong to your gym class management software; the AI's lane is the work between the system and the family — noticing, looking up, drafting, reminding.
And two things stay with people entirely: conversations about an athlete's progress or safety, and any decision about moving a child up a level. The AI can prep the roster change once you've decided. The decision is coaching.

Does this work with Jackrabbit or iClassPro?
Yes, through whichever door your system has: an API, a scheduled export, or a machine that reads the reports you already download. That last route works with any class system, whatever its age.
Do parents get messages automatically?
Not until you say so. Every message starts as a draft you read and send. Once a job has earned your trust, the waitlist offer say, you can let that one send on its own.
What does the AI change inside my class system?
Nothing. It reads your enrollment data and drafts actions for you; the system of record stays exactly as your staff maintains it.
Where should a gym start?
The waitlist sweep and the trial-family follow-up. Both are pure follow-through on data you already have, and both put athletes in open spots, which is revenue. The [scoring framework](/blog/what-to-automate-first) is how we'd rank the rest.
