TLDR:
Connect the calendar and whatever your coaches read to Claude or ChatGPT: draft schedules from availability, sub-finding when a coach calls out, certification expiry alerts and the Friday staff note, all drafted for approval.
Coaches are the most expensive and most safety-critical part of a gymnastics gym, and the work of managing them is mostly coordination: schedules, subs, certifications, reminders. This guide covers how to hand that coordination to Claude or ChatGPT.
It expands the staff side of our gym automation guide. Everything member-facing — class registration, waitlists, parent messages — stays in gymnastics class management and the admin guide; this page is the inside of the gym.
AI for coach scheduling, subs and certifications
Staff automation means the AI reads your calendar, your rosters and your staff records, and drafts the internal coordination a manager would have typed: next session's schedule, the sub request, the expiry reminder, the Friday note.
Connect Slack, WhatsApp or email, whatever the coaches already read. The AI meets your team where it is; a new app for coaches to ignore is not part of the setup.
And the same rule as everywhere else on the list: drafts, not actions. The schedule goes out after you've looked at it. The sub message goes to the coaches you'd have asked.
Draft schedules without buying gym staff scheduling software
This is the job gym staff scheduling software sells, and the reason most small gyms never buy it: the tool wants your whole operation moved into it. The AI version starts from what you already have.
Coach availability plus class rosters becomes a draft of next session's schedule, with the conflicts flagged: the coach down for two stations at once, the class with no qualified spotter, the Level 4 group scheduled against its coach's day off.
You resolve the flags and approve. The draft is a starting point a person finishes, not a schedule imposed by an algorithm.
Two details gymnastics adds that generic personal trainer scheduling software misses:
- Qualification-aware coverage. A sub for the team group has to be safety-certified and able to spot the skills that group trains. The draft only proposes coaches whose certifications and levels fit.
- Season shape. Schedules rebuild at session boundaries, not weekly, and meet weekends punch holes in them. The draft knows the session calendar because it's built from your calendar.
Hours worked feed straight into pay: assembled hours, sub swaps included, go to the payroll prep covered in gymnastics gym bookkeeping automation. If gymnastics coach pay disputes at your gym usually start with "that's not the schedule I worked," a tracked schedule ends them.
When a coach calls out
The 6am call-out is the sharpest version of the coordination problem, and the most automatable.
The moment you flag a call-out, the AI lists the coaches qualified and free for that slot, drafts the ask, and sends it to the ones you pick. Replies come back to you; the first yes updates the draft schedule and the Friday note.
The same sweep covers planned absences: a vacation request lands, the affected classes are listed, and the sub asks are drafted weeks early instead of the night before.
What it never does is decide alone who coaches children. It shortlists; you choose.
Certification tracking: USAG, SafeSport, CPR
Letting a certification lapse is not an admin slip in gymnastics; it's a safety and insurance problem. This is the item to automate first on this page.
- One list. USA Gymnastics membership, SafeSport, CPR and first aid for every coach, with expiry dates, read from your records.
- Reminders a month out. The coach gets the nudge, you get the summary, and the reminder repeats until the renewal is logged.
- Scheduling that respects it. A coach whose certification lapses stops appearing in sub shortlists and draft schedules until it's renewed.
New-coach onboarding runs off the same records: a checklist and a first-week schedule generated from your handbook, with the certification steps at the top, so nobody coaches a class before the paperwork exists. Certification tracking is the kind of quiet, always-on job worth having built properly — it's exactly what Unprompted sets up for gyms.
The tracked list, the schedules and the reminders live on a private machine in the cloud that your Claude or ChatGPT connects to; the calendar and Slack connections you can switch on yourself.
The weekly staff note and meet coverage
The Friday note. What changed this week, who's covering what, what next week looks like — drafted Friday, along with the recurring reminders like staff meetings and the pre-season paperwork round. Coaches stop finding out about changes from parents.
Meet weekends, staffed. When a meet lands on the calendar, the staffing side comes with it: who's traveling, who covers their home classes, drafted alongside the entry deadlines and travel dates the calendar automation already tracks.
What stays human
Hiring, reviews and anything about a coach's performance are conversations, not drafts. The AI can assemble the hours and the coverage record; what they mean is management.
Pay decisions stay with you too. The AI preps hours and flags mismatches, but rates, raises and disputes are people work.
And the floor is the floor. Nothing on this page touches how a class is coached, spotted or made safe; it exists so the person responsible for those things isn't also the person chasing CPR renewals at midnight.
If the schedule, the subs and the certifications are living in your head, talk to us and we'll show you the Friday note built from your own calendar.

Book a callFAQ
Do coaches need to install anything?
No. The AI drafts into Slack, WhatsApp or email, whichever your team already reads. Availability can come from replies, a shared sheet or the calendar.
Can it schedule around coach certifications?
Yes. The draft schedule and every sub shortlist only propose coaches whose USAG, SafeSport and CPR records are current for that group.
What happens when a coach calls out sick?
You flag it, the AI lists qualified, available coaches and drafts the ask. The first yes updates the draft schedule; you approve the final change.
Can it track pay for subs and extra hours?
It tracks the hours and the swaps and hands clean numbers to payroll prep. Rates and pay decisions stay with you; the [bookkeeping guide](/blog/gymnastics-bookkeeping-automation) covers the money side.
